Frequently Asked Questions
- Students are eligible if they are currently enrolled in a degree-granting program at the University of Utah. You must be currently enrolled in at least one class which, when completed, will result in the awarding of credit hours verifiable through the Office of the Registrar. You must be enrolled at the time you purchase the software.
- You can install the software on a personally owned or leased device.
- The University authentication system does not recognize new students as eligible until 7 days before classes begin. You can calculate eligibility dates by using these Academic Calendars.
- Study Abroad students, Continuing Education students or students taking only non-credit classes are not eligible to participate in this program.

Windows Upgrade (Education Edition) |
This product is purchased from Utah.OnTheHub.com which is managed and maintained by Kivuto Solutions on an external website. Product keys are provided on your purchase receipt. Register with your personal email address. Kivuto Solutions offers several access options for your download file(s) and/or key(s), allowing you to access them any time from 1 to 24 months from the day you place your order. However, it does not mean you will be able to download and install the software an unlimited number of times using the same key.

These products are available free of charge to you because the University of Utah has pre-negotiated and pre-paid for a campus wide agreement.
You don't need to be online to use Office after it is installed and activated on your devices. However, you will need internet access initially to install and activate Office, to install any updates, and to manage your billing (personal/family subscriptions). Internet access is also required to access documents stored on OneDrive, unless you install the OneDrive desktop app. However, after your Office applications (like Word, PowerPoint, and Excel) are installed, you can use them offline.
You should connect to the internet regularly to keep your version of Office up to date and benefit from automatic upgrades. If you don’t connect to the Internet at least every 39 days, your applications will go into reduced functionality mode, and you might see an unlicensed product error. To reactivate your Office applications, simply reconnect to the internet and sign in to Microsoft 365. Learn how to sign in.

The student licenses you purchase from utah.onthehub.com are perpetual. You will only need to purchase new licenses when you want to use new versions of the products.
The Microsoft 365 license is tied to the University. You can start a new subscription directly with Microsoft if you want to continue to use the software after leaving the University.
- You must be a full or part-time employee of the University of Utah and paid by the University of Utah.
- Board of Trustees-appointed emeriti faculty are eligible to use UMail and Microsoft 365 (web-based access only; desktop software is excluded).
- Employees can install the software on a personally owned or leased device for work related purposes.
- Adjunct faculty, affiliates, contractors, retirees and volunteers are not eligible.

No, our license does not include Windows upgrades for personally owned or leased computers. We recommend you purchase Windows upgrade directly from Microsoft or an authorized reseller.

- Windows upgrade: Windows licenses for University purchased and owned equipment are attainable via your local IT support.
- Project & Visio subscriptions: purchase the following products from the Software Catalog and follow the instructions on your receipt:
- Power BI Pro or Power BI Free:

Go to Microsoft 365.
- Click on the Power BI icon on the left side of your screen. If you don’t see the
icon, click on the search bar on the top menu and type “power bi” and click on the
Power BI app.
This will open a new tab for the Power BI Home page. - If you aren't sure if you have access, click on the Profile icon on the top right
corner of your screen.
- If you have been authorized access to Power BI Pro or Power BI Free, the popup window
will indicate your license type as “Pro” or "Free".
- If there is a button to "Start trial" underneath the license type, this will give you a free 60-day trial to the next level of Power BI.

- If you provide IT support to your department or college or you are an IT administrator, complete our vendor access request survey to request access to the Microsoft Volume Licensing Service Center (VLSC) website and access to the Campus Agreement folder on Box.
- Employees:
- version 2019: contact your department IT/computer support team or helpdesk. If you don't know who to contact, ask your manager or supervisor.
- version 2016 or earlier: if you do not have an IT/computer support team or helpdesk, forward your order confirmation message to software@utah.edu and include your name, email address, uNID, and the owner of the computer.
- Power BI Pro, Project Plan 3, Project Plan 5, Visio Plan 1, & Visio Plan 2: these
subscriptions are allocated to the end user in the Office 365 portal by OSL employees.
- IT Support:
- MAK product keys are provided in the Microsoft Campus Agreement folder on Box. If you do not have access to the folder, please follow the instructions for IT Support in the answer for question 5.
- KMS product keys are available upon request. Complete the KMS product key request survey and upon review, OSL will invite you to view a folder on Box that contains a spreadsheet with the keys.
